How long we keep your data.
Orbitrain keeps data only for as long as it serves the apprenticeship, protects the service, or meets a legal obligation. When the purpose ends, the data is removed.
1. Principle
Retention is the practice of keeping data for a defined period and then removing it. Orbitrain follows a purpose-limitation principle: data exists to serve your apprenticeship, secure the service, or meet a legal requirement. When none of those apply, the data should not remain.
You can request deletion at any time. See section 4 below.
2. Retention periods by data type

3. Learning evidence
Your capability evidence, judgement records, stories, and room debriefs form your Record. This is the evidence that supports your progression toward Orbitrained status. We retain this data until you request deletion because it is the product of your apprenticeship.
If you delete your account, all evidence is removed. There is no partial deletion that preserves evidence while removing other data. If you want to keep a copy before deletion, request an export first.
4. Deletion and export
You can request full data export and full account deletion through the product. Export produces a JSON file containing all your data, which is available for download for 7 days. Deletion removes all your data across every table and your authentication account.
Both operations are irreversible. A confirmation email is sent before deletion completes.

5. Legal basis and obligations
Under GDPR, Orbitrain processes personal data on the basis of contract performance (providing the apprenticeship you requested), legitimate interests (securing and improving the service), and legal obligation (retaining certain records where required by law).
Under CCPA, Orbitrain collects personal information for the business purposes of providing the service, securing it, and complying with legal obligations. You have the right to know, delete, and correct your personal information.
Some data may be retained beyond the periods above where required by law, such as financial records for tax purposes.
6. Changes
Retention periods may be adjusted as the service matures and legal requirements evolve. Any change that shortens a retention period will take effect promptly. Any change that lengthens a retention period will be announced with a new effective date.
